Strategic Executive Assistant

Our executive coaching and consulting firm—serving churches, Christian schools, nonprofits, and values-based businesses—is growing and is seeking a Strategic Executive Assistant to serve as the CEO’s right-hand partner and an essential support for our consultant team.
Location: Remote (Preference given to candidates in Dallas, TX or Orange County, CA)
Schedule: Part-time (20 hours/week, Monday–Thursday, 9 AM – 2 PM CST)
Travel: Light travel required (strategic offsites, ministry events, or conferences)

Position Summary
We are seeking a Strategic Executive Assistant—a high-capacity, mission-aligned professional who will serve as the right-hand partner to our CEO and an organizational linchpin for our consultant team. This is not a traditional assistant role—this is a strategic support position for a highly relational, fast-moving leader. You will work closely with the CEO on executive coaching logistics, project coordination, client communication, and overall strategic initiatives.
Key Responsibilities
Strategic & Administrative Support
Serve as a trusted strategic partner to the CEO, proactively anticipating needs and managing tasks.
Maintain CEO’s calendar, inbox, and task lists with efficiency, clarity, and confidentiality.
Join key meetings to take notes, document action items, and assist with follow-up.
Project & Consultant Team Support
Coordinate deliverables for client engagements including:
Executive Search Profiles, analytics, candidate packets, and video presentations.
Client culture surveys and candidate interview logistics.
Manage team communications, scheduling, and consultant support for meetings and events.
Support the facilitation of bi-annual Coaching Network gatherings, from planning to execution.
Communication & Relationship Management
Ensure all communications—internal and external—reflect a high standard of excellence and warmth.
Build and nurture strong relationships with team members, clients, and candidates.
Represent the CEO and consultants with professionalism and service-oriented care.
Event & Travel Coordination
Assist with booking and coordinating travel for consultants and candidates.
Support onsite events, ministry workshops, or trade shows (light travel required).
Qualifications & Experience
Experience supporting a senior leader in a church, search firm, faith-based organization, nonprofit, or business setting.
Excellent administrative skills: scheduling, digital organization, and communication management.
Project management capabilities with strong attention to detail and follow-through.
Comfortable using tools like Canva, Google Workspace, Zoom, and cloud-based CRMs or project management platforms.
